Privacy policy

The management of KODE AI Inc. acts as the person in charge of the protection of personal information. Any question or request for access, correction or withdrawal may be sent to contact@kode-strategy.com or by mail to the head office listed at the end of this page.

The firm limits collection to the information necessary for the stated purposes:

• Identification information provided voluntarily: name, role, company, email, phone number.
• Content of exchanges: the business context described when requesting a diagnostic or writing by email.
• Technical browsing data: truncated IP address, device type, pages viewed, referring page.

No sensitive information is requested through this site. No personal information is purchased from third parties.

• Responding to a diagnostic, meeting or information request.
• Entering into, performing and documenting a services agreement.
• Maintaining the security, availability and improvement of the site.
• Meeting the firm's legal, accounting and tax obligations.

Information is never used for advertising profiling, nor sold, rented or traded.

Processing relies, as the case may be, on the individual's consent, on contractual necessity or on a legal obligation. Consent is requested separately, in clear terms, and may be withdrawn at any time without affecting the lawfulness of prior processing.

Information may be disclosed to suppliers acting on the firm's behalf — hosting, business email, appointment scheduling, audience measurement — only to the extent necessary for their service and under a written agreement providing for confidentiality and security.

Some of these suppliers may process information outside Quebec. A privacy impact assessment is carried out before any disclosure outside the province, in accordance with Law 25.

• Unconverted enquiries: retained for a maximum of 24 months from the last exchange.
• Client files: for the duration of the relationship, then 7 years to meet legal and tax obligations.
• Technical browsing data: 13 months maximum.

At the end of the retention period, information is securely destroyed or irreversibly anonymized.

• Access to the information held and to its source.
• Correction of information that is inaccurate, incomplete or ambiguous.
• Withdrawal of consent and cessation of dissemination.
• Portability of information in a structured, commonly used technological format.
• Filing a complaint with the Commission d'accès à l'information du Québec.

Requests are handled within a maximum of 30 days from receipt. Reasonable identity verification may be required.

KODE maintains a register of confidentiality incidents. Where an incident presents a risk of serious injury, the firm promptly notifies the individuals concerned and the Commission d'accès à l'information, and documents the mitigation measures taken.

This policy may be revised to reflect legal or operational developments. The update date appears at the top of the page; any substantial change is signalled on the site.
